If a home owners association member has requested for a modification that can’t be approved, here is a sample template you can use to write a HOA rejection letter.
To,
Mr. [name of home owner],
Address: ____.
Dear Mr. [name],
This letter is issued on behalf of the [name of] Homeowner’s Association Board of Directors. Your application for making changes to the exterior architecture was reviewed by the relevant committee and then discussed in the Board of Directors’ weekly meeting.
After a lot of discussions, the Board and Committee collectively decided that they cannot allow you to make changes to the exterior of your house. These changes may alter the way your house looks from the outside. They may also cause an obstruction for others in their view.
For more details, check the Covenants, Conditions and Restrictions (CC&R) from the documents handed over to you when you bought the property. The CC&R are also accessible at the HOA’s website for your convenience.
Thank you,
[Name of the committee member],
